External and Internal Support Coordinator

The Position: The External and Internal Support Coordinator will act as the first point of contact for Shatterproof. The ideal candidate will provide administrative support to the Chief Marketing and Communications Officer and the Executive Vice President. The successful candidate will provide excellent customer support to all constituents and internal staff members, be comfortable in a fast-paced environment, and able to juggle multiple priorities and is extremely detail-oriented. Given Shatterproof’s start-up culture, it is critical that the incoming Coordinator possess an entrepreneurial spirit and is a self-starter. The day-to-day of this position will entail daily coordination of multiple calendars, daily interaction with individuals and families, administrative tasks in Salesforce and close collaboration with the entire staff of Shatterproof.

Job Responsibilities: 

  • Act as the point of contact for internal and external constituents;
  • Respond to inquiries received through the information and support inboxes as well as the 800# in an efficient and timely manner while keeping a positive, caring, and professional attitude toward customers always;
  • Provide support to families seeking information about Shatterproof, information for treatment and directing programmatic inquiries to appropriate parties;
  • Record all communication with supporters and constituents via Salesforce;
  • Assist constituents in making online donations via our communication channels;
  • Deliver administrative support to Chief Marketing and Communications Officer and the Executive Vice President including:
  • Managing calendars (Outlook)
    • Preparing expense reports
    • Travel arrangements
    • External meeting prep and follow-up
    • Agenda and minutes for internal meetings
    • General support as needed
  • Collect and process invoices from vendors, freelancers and/or marketing and fundraising events for submission to finance/accounting team for payment;
  • Support in keeping marketing materials and deck UpToDate;
  • Help with office operations such as shipping and receiving of mail and packages, ordering supplies for events, staff and marketing efforts, maintaining office subscriptions, and assisting with onboarding to setup cellphone service and business cards for new employees;
  • Support department metrics reporting 
  • Responsible for producing a triweekly (MW&F) newsletter and a monthly staff internal newsletter to keep staff UpToDate with happenings in the addiction space and the accomplishments of staff and Shatterproof;
  • Report media impression numbers for the triweekly newsletter monthly;
  • Liaise with senior Shatterproof staff to handle requests from CEO, senior leadership, and provide general support to Shatterproof staff. ​​​

Ambassador Program Support:

  • Maintain inventory and ordering of presentation materials, Ambassador apparel, printed pieces;
  • Assist Ambassador Program with mailing of welcome packages and letters monthly;
  • Ship said inventory as needed and follow up on items needing return (i.e.: tablecloths, iPads), coordinate distribution of Shatterproof promo items if required;
  • Arrange Ambassador travel/reimbursement as needed; 

The ideal candidate qualifications include:

  • Bachelor’s degree and 2+ years of administrative, customer support or relevant nonprofit experience. In lieu of a bachelor’s degree, 5 years of relevant experience, as described above, is required. 
  • A commitment to supporting our mission of reducing the devastation that the disease of addiction causes families.
  • Strong customer service skills.
  • Ability to work in a fast-paced environment and handle busy calendars.
  • Exceptional communication skills–written and verbal–with demonstrated ability to work independently.
  • Experience working with sensitive topics and/or compassionately engaging with individuals with lived experience in substance use disorders and/or mental health issues.
  • Data collection, entry, and management.
  • Detail oriented and strong organizational and problem-solving skills.
  • Computer savvy, comfortable with learning new technology
  • Proficient in Microsoft Office, Outlook. Salesforce/CRM experience preferred.

Shatterproof is a national nonprofit dedicated to reversing the addiction crisis in the United States. 

The Crisis
Addiction is the most significant health crisis in the United States today.

For the 20.4 million adults in America with a substance use disorder (SUD), the devastation caused by the disease can be crushing. In 2018, more than 175,000 deaths in the U.S. were related to alcohol and other drugs – the third largest cause of death in the nation. Of those deaths, 47,000 were from an opioid overdose. The opioid crisis also cost society an estimated $179 billion to $696 billion in 2018 alone. These impacts are felt across a broad swath of society, from health care to employers to the government. 

Even more tragic, the social isolation and anxiety brought on by COVID-19 has made the addiction crisis that much worse. Addressing this health crisis is more important now than ever. Recent reporting indicates that overdoses in May 2020 were 42% higher than in May 2019. 

The Response
Founded by hospitality executive Gary Mendell in 2013, Shatterproof draws from the extensive business experience of its senior leadership and uses a for-profit, ROI-focused lens to create results. Our strict commitment to science, evidence-based solutions, and transformational change has informed the business plan we execute daily. Our business plan includes work within the following three key pillars:

    We are transforming the healthcare delivery system so that every person facing addiction has access to quality care and treatment based on science.
  2. Breaking down addiction-related stigmas.
    Addiction is a treatable disease, not a weakness. By changing people’s attitudes and behaviors, we’re reducing the shame in order to encourage patients to seeking life- saving treatment, and providing reassurance, compassion, and support for a full and fulfilling life.

    We are providing science-based educational resources that aid in the prevention and treatment of addiction, while building hope, confidence and resiliency within families and communities, and advocating for life-saving policies.

Shatterproof has successfully informed policy changes that improve access to science-based addiction treatment and promote lasting recovery.  In the past six years we have been influential in 25 bills being signed into law in 18 states; the successful passage of the CDC’s Guidelines for the safer prescribing of dangerous opioids; and sections of federal laws that improve treatment access and quality. Our current policy work is focused on three areas: payment reform, addiction training and education, and opioid litigation settlement.

About the Shatterproof Marketing & Communications Department

The Marketing Department provides broad-based marketing and administrative support across all Shatterproof’s programs to aid Shatterproof’s mission in supporting programs such as ATLAS®, our Stigma Initiative, and our Just Five platform. As these programs continue to grow, the job of marketing is to strategically ensure that Shatterproof reaches the many faces phased by addiction to eliminate stigma, provide treatment support, systematically change harmful policies affecting individuals with SUDs and aid in the education of institutions, medical professionals, individuals, and families.
